Plans, directs and supervises the development, implementation and maintenance of the district's comprehensive records management program to ensure compliance with established standards. Oversees and monitors working hours of Administrative Assistant (I-III) positions to ensure adequate coverage at all times. Provides information on the annual performance evaluations of administrative assistant positions (I-III).

Administrative Duties:
Can provide guidance in coordinating and prioritizing the day-to-day work of Administrative Assistants. May instruct lower-level personnel in carrying out assigned projects or job tasks. Arranges work schedules and coordinates leave and absence coverage for Administrative Assistants. Review leave requests and modified work schedules to ensure adequate coverage prior to Director approval. Help determine administrative assistant training needs. Coordinates, schedules, and provides necessary training and equipment as needed. Helps provide guidance and training to lower level staff to address performance and behavior issues. Provides recommendations regarding corrective or disciplinary action to directors/department heads as needed. Provides Directors/Heads of Department with information on performance evaluations of Administrative Assistant positions (I-III)

Assists in the development and implementation of administrative procedures.
Receives, reviews price accuracy, and distributes administrative invoices for processing. Monitor administrative purchase order terms.
Serves as the primary support for the Director/Office Secretary position on the Board, including administrative support for the Chief Executive Officer and the Board of Directors. Duties may include preparing the meeting agenda, attending meetings, and taking minutes or other documentation of the board meeting. You can participate in the recruitment process for temporary employees and ordinary administrative staff.
OTHER ASSIGNED FUNCTIONS
Assists with special administrative projects, such as researching, verifying, and correcting current or historical records and compiling information for various reports. Assumes responsibility for covering a portion of colleagues' work assignments during short assigned absences. He participates in district committees and personnel functions. Performs other activities consistent with assigned supervisory responsibilities and necessary for the effective functioning of District and Administrative Support Services.
Judgments
A combination of training and experience demonstrating that a person has acquired the requisite knowledge and is capable of carrying out the required work (with reasonable accommodation if necessary). An individual with the following combined education and experience would normally qualify to compete in a selection process:
EDUCATION: High school diploma or equivalent complemented by at least two years of related university level business courses.
EXPERIENCE: Four (4) years full-time paid work experience in a central back office environment and one year of which involved operational records management systems. Records management experience preferred. Supervisory experience preferred. Physical demands and working conditions
Working in a normal office environment with controlled lighting and ventilation and moderate noise levels.
